Decide what the report needs to explain
A useful handover shows the original condition, what you did, and anything still requiring attention. Create a job and add only the customer details needed for that handover. Use a fictional job while learning the app.
1. Create one issue per finding
Give each issue a specific title, such as “Exterior wall crack.” Record the finding, the work performed, and any follow-up separately. Choose a status that accurately reflects the current state; a photo alone does not prove a repair is complete.
2. Add Before and After photos
Place each image in the appropriate phase. When possible, photograph the same area from a similar angle and distance so the comparison is useful. Do not label an image “After” when it only shows another view of the original condition.
Add arrows or other markup to identify a detail. Keep a wider contextual photo when a close-up could be confusing. A missing After photo can remain missing rather than being replaced with an unrelated image.
3. Review the notes
Keep observations separate from conclusions. Voice input can help on site: start it deliberately, review the transcription, and apply only the text you intend to save. Names, measurements, and technical terms deserve an extra check.
4. Arrange the PDF
Open Reports and choose your layout. Use A4 or Letter, adjust columns and photo placement, and decide whether times or GPS should appear. Generate a preview and inspect long notes, image labels, and page breaks.
5. Share a reviewed copy
Use Share PDF or Save to Files. An exported report is a snapshot: later edits do not change a copy you already sent. Generate and share a new revision when the record changes, and make its date clear to the recipient.
Creating or editing work and generating new PDFs requires an active entitlement. Previously generated PDFs remain readable and shareable after subscription expiry.
